Tenant comfort complaints — too hot, too cold, noisy equipment, poor air quality — are among the most common issues in commercial and multi-residential buildings. Here is a structured approach to handling them.
The First Response
Take every comfort complaint seriously. Document the complaint, the location, the time, and the conditions reported. Ask the tenant to note the thermostat setting and outside conditions at the time.
Common Causes by Symptom
- One zone too hot, others comfortable: zone valve failure, thermostat calibration, duct damper stuck closed
- Entire floor too cold: pump failure, boiler issue, air lock in system
- Noisy equipment: belt wear, loose fan housing, refrigerant issue
- Musty odor: drain pan fouling, dirty coil, duct contamination
Working With Your Contractor
Provide your contractor with as much information as possible: time of complaint, weather conditions, thermostat settings, and any recent work in the area. The more data they have, the faster they can diagnose.
